Vendor Compliance Monitoring
Vendor Monitoring
Catch authority lapses before they become claims.
Continuous DOT & FMCSA monitoring on every DOT number you care about. Authority status, BASIC scores, out-of-service events — alerted in real time.
Built for: Motor carriers, freight brokers, shippers
What you get
- Daily SAFER + SMS pulls on every DOT and MC number you watch
- Operating authority changes alerted within hours of FMCSA publication
- BASIC measure tracking across all 7 categories with thresholding per role
- Out-of-service events flagged with the underlying inspection record
- MCS-150 biennial expiration calendared 90/60/30 days out
- Composite vendor risk score that updates automatically as inputs change
How it works
- 1
Import your vendor list
Bulk-upload a CSV or sync from your TMS / vendor management system. We dedupe by DOT number, MC number, and EIN where available. Every vendor gets a profile with its current FMCSA snapshot.
- 2
We watch FMCSA for you
Daily polling against the SAFER public datasets and the SMS scores. Any change — authority granted, revoked, reinstated; BASIC measure crossing a threshold; an inspection with OOS hits — is recorded against the vendor and alerted per your routing rules.
- 3
Route alerts where they need to go
Per-role alert routing: dispatchers see different signals than safety directors. Critical changes (authority revoked, OOS spike) page immediately; informational changes batch into a daily digest. Slack, email, and webhook delivery.
- 4
Use the risk score to decide
Each vendor's composite risk score factors in authority status, insurance currency (from COI Management when paired), BASIC measures, recent inspections, and crash history. Sort and filter to surface who deserves attention before the next load tenders.
FAQ
- How fresh is the FMCSA data?
- We pull SAFER daily and SMS weekly (SMS is updated monthly upstream but we re-check weekly to catch corrections). Authority changes typically appear in SAFER within 1 business day of FMCSA processing, so end-to-end latency from a status change at FMCSA to an alert in your inbox is typically under 36 hours.
- Do you watch state-DOT authority too, or just federal?
- Federal FMCSA today (operating authority, MC numbers, USDOT numbers). State-level intrastate authority is on the roadmap; ask us if you have a state-specific use case so we can prioritize it.
- What does the risk score actually weigh?
- Authority status (40%), insurance currency from any paired COI Management evidence (25%), BASIC measures across the 7 categories (20%), recent inspection violations (10%), and crash history (5%). The weights are configurable per organization if your risk tolerance differs from the default.
- Can shippers and brokers use this together?
- Yes — a shipper monitoring its motor carriers and a broker monitoring its haulers see the same data through the same dashboard. The difference is in the alert thresholds and the risk weighting, both of which are role-configurable.
