Mandate Tracking

Never miss a federal filing again.

ELD, drug & alcohol clearinghouse, MCS-150 biennial updates, UCR — every annual or biennial federal mandate is tracked, calendared, and reminded before the deadline.

Built for: Motor carriers, owner-operators

What you get

  • Every federal mandate calendared on a single timeline per DOT number
  • MCS-150 biennial update reminders 90 / 60 / 30 days out
  • UCR annual registration tracked with current fee tier
  • Drug & alcohol Clearinghouse limited query annual cadence built in
  • ELD certification status surfaced from FMCSA's registered-device list
  • IRP and IFTA renewal windows tracked per jurisdiction of operation

How it works

  1. 1

We pre-populate from your USDOT profile

Give us your DOT number and we pull the relevant filing history from FMCSA. MCS-150 last update, current authority status, biennial cycle, Clearinghouse registration — pre-filled so the calendar is right from day one.

  2. 2

Each mandate gets its own track

Mandates have different cadences (annual, biennial, per-driver). Each track records the last filing, the next deadline, the required action, and the FMCSA / state portal where the action happens.

  3. 3

    Reminders fire before the deadline

Standard cadence is 90 / 60 / 30 / 7 days out plus a follow-up the day after the deadline if no completion is recorded. You can tighten or loosen per mandate; UCR's hard fee deadline gets a more aggressive escalation than a Clearinghouse limited query that has a flexible window.

  4. 4

    Audit-ready filing history

Each completion records the date, the person who filed it, the confirmation number from the federal or state portal, and the documents attached. When an auditor or a customer asks 'when was your last MCS-150 update,' you have a timestamped answer.

FAQ

Which mandates does this cover today?
MCS-150 biennial updates, UCR annual registration, Drug & Alcohol Clearinghouse limited queries (annual per driver) and full queries (pre-employment), ELD certification status, IRP renewals, and IFTA quarterly returns plus annual decal renewal. State-specific intrastate mandates can be added on request.
Does this file for us, or just remind us?
Reminders + structured workflow today; the actual filings still happen on the federal or state portal. Some federal portals don't allow third-party submission, so 'we file for you' is misleading — we make sure the right person knows what to file, by when, with what attached.
How do you handle drivers leaving and joining mid-cycle?
Clearinghouse limited queries are tied to drivers, not the carrier as a whole. When you onboard a driver we add a Clearinghouse track for them; when they leave we close it out. The driver's full Clearinghouse history stays attached to their profile so subsequent employers can see prior queries.
What about owner-operators with a single DOT number?
Same calendar, smaller volume. Owner-operators usually want the MCS-150, UCR, IRP, IFTA, and ELD tracks; the Clearinghouse track is optional if the operator is also the only driver (you still query yourself annually).
